Privacy policy.
How Tridem Logistics Inc. o/a Setara Transport handles personal information from this website, our forms and our trucking work, and how to reach us about it.
Last updated: October 29, 2026.
This policy explains what personal information we collect, why we collect it, who we share it with and the choices you have. Personal information means information about an identifiable person. If anything here is unclear, email [email protected].
1. Who we are and what this policy covers
"We", "us" and "Setara Transport" mean Tridem Logistics Inc., an Ontario company that operates under the name Setara Transport. We are based in Vaughan, Ontario. We move containers to and from the CN Brampton and CPKC Vaughan rail ramps, pick up and deliver across the Greater Toronto Area, and haul truckload freight on Ontario lanes. We run our own trucks and chassis, and we work with owner-operators and partner carriers.
This policy covers personal information we collect:
- through this website, setaratransport.ca, in English and in French;
- through the forms on this website, and the emails and calls that follow them; and
- in our trucking work, including the driver app our drivers use on each move.
It does not cover other websites that this site links to, such as the chat assistant and call booking pages on setara.ca that the "Contact us" button opens. Those websites have their own privacy notices.
2. Privacy contact
At Tridem Logistics Inc., the person in charge of protecting personal information and of our compliance with privacy law holds the title of Privacy Officer. Send privacy questions, requests and complaints to the Privacy Officer at [email protected].
For general questions, you can also call dispatch at (905) 745-2322, Monday to Friday, 8:00 to 18:00 ET.
3. Information we collect
We collect only what we need for the purposes in section 4. Most of it comes from you, from the business you work for, or from the people involved in a shipment. For a credit application, we may also get information from credit reporting agencies and banks. If we check a carrier's or an applicant's operating authority, driving record or insurance, we get information from the bodies that issue them.
Quote requests
To price a move, we ask for the service you need, the ramp or terminal, the pickup and delivery addresses, the container size and count, what the cargo is, its weight and whether it is dangerous goods. We also ask for your name, your company and your work email. You can add dates, extra stops, dock details, a temperature setting, a container number, a phone number and a note.
Contact, carrier packet and vendor setup requests
We ask for your name, your email and your message. You can add your company and phone number. Brokers and forwarders who ask for our carrier packet also tell us their role, and can add the vetting platform they use and their lanes. A vendor setup request can include your role and your supplier portal.
Carriers
Carriers who want to work with us give us a contact name, the company name, an email, a dispatch phone number and a message. They can add their authority numbers and fleet size.
Owner-operators and job applicants
Owner-operators give us their name, email, phone, business name, CVOR status and a message. They can add their home base, CVOR number and operating authority.
People applying for a driving job give us their name, phone and email. They can add their city, years of AZ driving, ramp experience and a resume.
Credit applications
Brokers, forwarders and other businesses that apply for credit with us give us the business's legal name, address and type, and a contact name, email and phone. They also confirm that they are authorized to apply. They can add the operating name, years in business, tax or business number, where the business is registered, the full names of its principals, the contact's job title, billing and accounts payable contacts, a website, industry numbers such as MC, USDOT, SCAC or CBSA numbers, the credit limit and terms requested, expected loads and lanes, and the name, branch and contact person at the business's bank.
Most of this is about the business. Some of it, such as the names of principals and contacts, is about people.
Shipment and operations records
When we move freight, we keep records such as:
- container, seal, truck and chassis numbers;
- pickup and delivery details, including the names and phone numbers of the contacts at each site;
- the times our drivers record for pickup, arrival and delivery, and for arriving at a rail ramp or depot, which we use to measure waiting time;
- bills of lading and proof of delivery, including the name and on-screen signature of the person who signs for the freight, or the reason no one signed;
- photos our drivers take, for example of a seal or of damage; and
- the name of the driver on each move.
Drivers who use our driver app
Our drivers record each move in our driver app. The app does not track a driver's location. Before a photo leaves the phone, the app makes it smaller, and that removes the location and phone details stored inside the photo. We store driver PINs and the sign-in tokens kept on each phone only in a coded (hashed) form. A one-time code for a new phone stays readable only until it is used, cancelled or expires. We note whether the phone is an iPhone or an Android phone, and the app's records do not include the phone's network (IP) address or other details about the device.
Website and device information
When you send a form, we record the page you sent it from, the page title and the time. We do not record your browser or device type with a form. The logs our website code writes contain only the type of form and its reference number, not what you typed. For some forms, our customer relationship management system also receives your IP address (see section 7).
If you accept analytics, our analytics tools also collect information about how you use this website. Section 6 explains this.
When our staff sign in to our internal systems, we record the network address and browser used for each session, for security.
4. How we use it
We use personal information to:
- answer your questions and prepare quotes;
- plan, dispatch, carry and deliver freight, and prove delivery;
- measure waiting time, and bill detention and other charges with the backup attached;
- set up carriers, owner-operators, vendors and customer accounts;
- review credit applications, send invoices, collect payment and run accounts;
- assess owner-operator and job applications, and contact applicants;
- handle claims and disputes;
- keep this website and our systems secure, and filter out spam;
- understand how this website is used and improve it, if you accepted analytics;
- learn which businesses visit this website and link visits to requests sent through our forms, if you accepted analytics; and
- meet our legal, safety, tax and insurance obligations.
We do not use personal information for a new purpose without telling you and, where the law requires it, asking for your consent first.
5. Consent
Each form on this website shows a short notice before you send it. By sending the form, you agree to the uses that the notice and this policy describe. If a form notice and this policy differ, this policy applies. A credit application also asks you to tick a box to confirm that you are authorized to apply for the business and that you authorize the credit review.
Where we need further consent, we ask for it first. For example, if we need to check an owner-operator's or a job applicant's driving record, operating authority or insurance with the bodies that issue them, we ask that person first. For a carrier setup request, the form's notice covers checking your operating authority and insurance with the bodies that issue them.
During a shipment, we may rely on implied consent where that is reasonable, for example when a customer gives us a site contact's name and phone number so that our driver can reach them.
You can withdraw your consent at any time, subject to legal or contractual limits and reasonable notice. Email [email protected]. We will tell you what withdrawing means for you, for example that we may not be able to finish a quote or an application.
We do not use this website's forms to sign you up for marketing emails. The emails we send after a form are about your request. If that changes, we will ask for your consent first, and every marketing email will include a way to unsubscribe.
You can change your analytics choice at any time. Section 6 explains how.
6. Cookies and similar technologies
Cookies and similar technologies are small pieces of information that a website stores in your browser. This website uses two kinds: essential, and analytics. We do not use advertising cookies.
Essential
These are needed for the site to work, and they are always on. Our own code does not set cookies. It stores three items in your browser:
- your cookie choice and the date you made it, so we do not ask again on every page;
- a note that you arrived from setara.ca, so the site can show a link back, kept until you close the tab; and
- a draft of your quote, so you do not lose your work between steps. It stays in that tab only, is not used after 30 minutes, and never includes your name, contact details or note.
Our hosting and security provider may also set cookies that it needs to protect the site, for example to tell people apart from automated traffic.
Analytics, only if you accept
On your first visit, a banner lets you choose "Accept analytics" or "Essential only". None of the tools below load until you accept. If you accept, these tools load:
- Web analytics (Google Analytics). It measures visits and which pages are used. It also receives events such as starting a form, viewing a quote step, or tapping our phone number or email link. These events carry only the page language, the type of form and the service chosen, not what you type. We have turned off Google signals and ad personalization, and we do not send the part of a web address after the question mark.
- Our customer relationship management system's tracking code (HubSpot). It records the pages you visit on this website. If you then send a form, it links those visits to your email address.
- Business identification (Apollo). It uses your IP address to work out which company a visit comes from.
These providers set their own cookies, and their own privacy policies describe them.
To change your choice, use the "Cookie settings" button at the bottom of any page. If you switch to "Essential only", the tools stop, at the latest from the next page you open. Cookies they have already set stay in your browser until they expire or you clear them. You can block or clear cookies and site data in your browser settings.
Address suggestions
The address suggestions on our quote and credit forms do not load any script or cookie from Google in your browser. Section 7 explains how they work.
7. Who we share it with
We share personal information only as needed for the purposes in section 4, and only with:
- Service providers that help us run our business: website hosting and security, database hosting, email delivery and email hosting, our customer relationship management system (CRM), web analytics and business identification (only if you accept analytics), mapping services, and an artificial intelligence service that our team can use to read a quote request email and fill in our quote form. Nothing becomes a quote until a person on our team checks the form and creates the quote.
- The people involved in moving your freight, such as shippers, receivers, brokers and forwarders on the load, rail ramps and terminals, ocean carriers, chassis and equipment providers, customs brokers, the owner-operators who drive for us, and a partner carrier if you have agreed in writing that one may handle your load. We give proof of delivery, including the name and signature of the person who signed, to the customer who booked the move.
- Setara Logistics Inc., a separate company, where your request relates to services it provides.
- Credit sources, for credit applications: commercial credit reporting agencies and financial institutions, which we may contact to verify the information.
- Professional advisers and insurers, such as our lawyers, accountants and insurers, for example when we handle a claim.
- Government bodies, regulators, police and courts, where the law requires or allows it.
- A buyer or other party in a business transaction, such as a sale or financing of our business. They must keep the information confidential and use it only for that transaction.
What happens when you send a form
Each form is emailed to the right team. Quote requests, contact requests (including carrier packet and vendor setup requests), carrier setup requests and credit applications go to dispatch. Owner-operator and job applications go to our careers inbox. We usually send you an email receipt. Quote requests may also be entered into our dispatch and quoting system.
Quote, contact (including carrier packet and vendor setup), carrier and owner-operator requests are also added to our CRM, whatever your cookie choice, because that is how we keep track of requests. With each one, the CRM receives what you entered in the form, the page you sent it from and its title, your IP address, the CRM's tracking cookie if your browser has one, and the wording of the notice you saw. Credit applications and job applications are not added to the CRM.
Resumes are sent by email to our hiring inbox. They are not stored on this website.
Address suggestions and road distance
The address fields on our quote and credit forms may suggest addresses as you type. To do this, our server sends the text you type to a mapping service (Google Maps Platform). For road quotes, the pickup and delivery addresses may also be sent to it to work out the road distance for our dispatch team. Your name and contact details are not sent. Your IP address is not sent either: Google receives a one-way coded version of it, which lets Google apply usage limits. Google handles this information under its own privacy policy.
8. Where information is stored and processed
We and our service providers store and process personal information in Canada, the United States and other places where those providers operate. Information held outside your province or outside Canada is subject to the laws of that place, and courts, police or other authorities there may be able to obtain it.
Where the law requires it, including for information about people in Quebec, we assess the risks before information is sent outside the province, and we use contracts and other safeguards suited to how sensitive the information is.
9. Retention
We keep personal information only as long as we need it for the purposes in this policy, or as long as the law requires, for example for tax, safety and carrier records, or to deal with a claim or a dispute.
Bills of lading and the records behind them (delivery photos, signatures and the signed copy) are kept for at least seven years, and they cannot be changed or deleted during that time. A correction is saved as a new version, and the earlier one is kept.
When we no longer need information, we delete it, make it anonymous or destroy it securely, subject to backup and legal limits.
In your browser, the quote draft and the note that you came from setara.ca clear when you close the tab. Your cookie choice stays until you change it or clear your browser's site data.
10. Security
We protect personal information with safeguards suited to how sensitive it is. For example:
- this website tells browsers to use only encrypted (HTTPS) connections;
- the site is set to block access to your camera, microphone and location;
- resumes are not stored on the website;
- driver PINs and phone sign-in tokens are stored only in a coded form; and
- our staff sign in to our internal systems with one-time codes sent by email.
No system is perfectly secure, so we cannot promise that information will never be lost or misused.
If a confidentiality incident happens, we act to reduce the harm and we keep a record of it. Where the law requires it, for example where there is a real risk of significant harm, or a risk of serious injury for people in Quebec, we notify the people affected and the Office of the Privacy Commissioner of Canada or the Commission d'accès à l'information du Québec.
11. Your rights
You can ask us:
- whether we hold personal information about you, and for access to it;
- to correct information that is wrong or incomplete;
- how we have used it and who we have shared it with; and
- to withdraw your consent, subject to legal or contractual limits.
If you are in Quebec
Quebec law gives you some additional rights. Where the law allows, you can ask us to stop publishing your personal information or to de-index a link to it. You can ask for computerized personal information that you gave us in a structured, commonly used format, or have it sent to another organization that is authorized to receive it. You can ask which categories of our staff can see your information and how long we keep it. You can also ask to be told about any technology we use that can identify, locate or profile you, and how to turn it off. Section 6 describes the tools that track visits: they stay off unless you accept analytics. Separately, our CRM receives your IP address with some forms, whatever your cookie choice (section 7).
How to make a request
Email [email protected] and tell us what you are asking for. We may ask you to confirm your identity before we answer. We answer in writing within 30 days. If we need more time and the law allows it, we will tell you why and when to expect an answer. If we refuse a request, we will tell you why and how to complain. Access to your own information is free, but where the law allows it we may charge a reasonable fee for copies, and we will tell you the amount first.
Complaints
If you are not satisfied with how we handled your information or your request, please tell us first so we can try to fix it. You can also complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca. If you are in Quebec, you can complain to the Commission d'accès à l'information du Québec at cai.gouv.qc.ca.
12. Children
This website and our services are for businesses and for adults looking for work with us. They are not directed to children, and we do not knowingly collect personal information from anyone under 16. If you think a child has sent us information, email [email protected] and we will delete it.
13. Changes to this policy
We may update this policy. When we do, we will post the new version on this page and change the "Last updated" date. If a change is significant, we will give more notice, and where the law requires it we will ask for your consent.
